Overview

We are looking for a versatile and highly-organized executive assistant to perform personalized administrative duties for the executive team. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of them. You may also be required to make travel arrangements and assist with other duties when required. To ensure success as a personal assistant, you should exhibit excellent organizational skills and demonstrable experience in a secretarial role. Accomplished personal assistants are intuitive to the needs of the managers and work autonomously to provide customized administrative support.

Responsibilities

  • Reporting to the executive team and performing secretarial and administrative duties.
  • Typing, formatting, and editing reports, documents, and presentations.
  • Entering data, maintaining databases, and keeping records.
  • Liaising with internal departments, answering calls, and making travel arrangements.
  • Liaise with lawyer, banker, realtor, vendors, family, friends
  • Managing internal and external correspondence on behalf of executives.
  • Scheduling appointments, maintaining an events calendar, and sending reminders.
  • Copying, scanning, and faxing documents, as well as taking notes.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Ordering office supplies and replacements, as well as managing mail and courier services.

Requirements and Skills

  • Proven work experience as a Personal Assistant
  • Knowledge of office management systems and procedures
  • MS Office and English, Hindi, Marathi proficiency
  • Outstanding organizational and time management skills
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality

Examples of possible duties

  • Organize business and personal travel for executives and their families.
  • Travel with exec on certain occasions and/or go in advance for set-up.
  • Handle bills and/or coordinate with the bookkeeper.
  • Address and mail cards, letters and packages.
  • Buy business and personal gifts.
  • Run personal errands and schedule household repairs/renovations.
  • Update contact manager (or CRM database).
  • Open, organize, forward, handle, shred, discuss and handle snail mail, including RSVPs of invitations.
  • Screen email and handle low- to mid-level responses, draft emails for higher-level responses, act as gatekeeper for phone calls to execs.
  • Update blogs, websites and social media accounts (dependent on skills).
  • Organize and manage filing systems, both paper-based and cloud-based.
  • Take dictation (either live or via recordings).
  • Maintain a shared calendar to aid in streamlined communications.
  • Set up business and personal appointments – phone and in-person, and handle logistics for appointments – set up cars, organize directions, and provide supporting materials.
  • Conduct daily cleanup of office, including restocking (functioning as an office manager)
  • Take notes at key meetings and follow up with attendees on key deliverables
  • Keep an updated master chart/list/spreadsheet of projects, deadlines and set reminders
  • Maintain electronic reminders and records for birthdays, anniversaries, holidays and other important dates
  • Coordinate online purchases and handle any product returns or service issues
  • Notarize documents
  • Review contracts as another set of informed eyes
  • Attend meetings in place of exec
  • Liaise with lawyer, banker, realtor, vendors, government office staff, family, friends (in US, India, and other countries)
